Introduction to Fax-away

What is Fax-away?
Fax-away is an e-mail-to-fax service enabling you to send faxes easily and economically from e-mail to any fax machine in the world. Fax-away is the world's only e-mail to fax service allowing you to attach different kinds of documents to your email as email attachments and send these out as faxes. Supported documents include, Microsoft Word 7.0 or earlier, .tif, .bmp, .jpeg and others.

To use Fax-away, you do not need to have web access. You only need to be able to send and receive email, using any e-mail software (such as Eudora, Microsoft Exchange, CompuServe, etc.).

Fax-away allows you to save time and money by sending e-mail text and attached documents as faxes.

You can also use Fax-away for broadcast faxing, to send faxes to many fax machines at the same time.

Hardware/Software Requirements
The only requirement to use Fax-away is a computer with the ability to send and receive e-mail.

Registration
Register on Fax-away's World Wide WEB page on http://www.Fax-away.com. Registration is by prepaid credit card (VISA, MasterCard, American Express or Diner's Club), or by prepaid cash of a minimum of $100 (cash by wire, check in US dollars, money order or US currency).

When registering by post, send your registration information to our mailing address.

When registering by fax, send your registration information to our fax machine.

Our bank details for wire transfers are as follows. Make sure to specify on your wire your email address to which you want your payment to be posted. This is very important.

Common Billing Questions

Are there monthly service charges?
There is a $1 monthly service charge for each Fax-away account.

What is a prepayment?
The pre-payment amount is the increment you authorize us to charge your credit card in advance. We charge your card when your Fax-away account balance drops to zero. The pre-payment minimum is $10.

For example, if you set $50 as your pre-payment amount, your credit card will be charged $50. Once your Fax-away account balance has reached zero, we would charge your credit card another $50, and so on.

How low can I set the monthly limit?
You can choose any denomination over $10, or you can choose not to have a monthly limit.

When will you charge my credit card?
Fax-away will charge your credit card for the first prepayment amount at the time of registration. Your initial Fax-away balance will reflect your first prepayment amount as well as the remainder of the $5 complimentary credit.

Do I need to authorize each charge?
No. We keep the credit card information on file, and our computer system handles the billing automatically.


Quick Start/Addressing E-mails to Fax-away
To use Fax-away, compose an e-mail message as follows:

To: faxnumber@Fax-away.com Subject: the subject of your e-mail Body: type your message here.

Begin your fax number with the country code, followed by the area or city code, then the fax number.

Do not include international dialing codes, spaces, or non-numeric characters.

To send a fax to a fax machine with a fax number of 301-7500 in Seattle, Washington, in the United States, where the country code is 1 and the area code is 206, you address your email to 12063017500@Fax-away.com.

All faxes must include the country code, area and/or city codes, and fax number, even if you are sending a fax locally.

Do not use dashes, parenthesis, or spaces when writing the fax number. These or other non-numeric characters will cause Fax-away to reject the message.

If you wish to send the same message to more than one fax, but less than ten, add additional addresses in the To: or Cc: fields of your email.


Using Fax-away

Fax Composition Options
You can send faxes using two different methods: text messaging and attached documents.

Text messaging
This method is used to fax the body of an e-mail message or copied text.

The “To:” field will display the recipient’s fax number; the “From:” field will display your e-mail address; and Subject: will display the e-mail’s subject: (maximum 100 characters for the subject field).

If you wish to add a name in the To: field, either use the nickname/alias feature of your e-mail software, or follow the format below.

First_Lastname.faxnumber@Fax-away.com

For example, to send a fax to Mr Arthur England at the fax number 44-171-234-5678 type the following:

Arthur_England.441712345678@Fax-away.com

If you wish to add a name in the To: field, in addition to an extension (such as to a room number in a hotel, for example), in that case, you must add an "underscore" before the period, followed by the fax number, followed by @Fax-away.com.

For example, to send a fax to Arthur England in room number 210, at fax number 44-171-234-5678, type the following:

Arthur_England_Room_210_.441712345678@Fax-away.com

The maximum length for the name and fax number combined is 50 characters.

The Fax-away “From:” field will always take its information from the e-mail message. If you cannot get your alias to work correctly, or do not have that ability, see the SET NAME command.

Attached documents
To fax a prepared document or file, you must put the keyword FAXDOC in the subject line of the e-mail and attach the document or file to the e-mail. This is not necessary for TIFF documents.

Do not write any text in the body of the e-mail.

When using any of the files above do not include any merge fields unless using Microsoft Word.

Note that Fax-away does not reliably support Microsoft Excel files in landscape format. Test all files that you wish to send to your own fax machine before sending them as faxes. To send Excel files more reliably, use the TIFF converter to convert Excel files in landscape format to TIFF files, or embed the Excel file into a Word document and attach the TIFF or Word document to an email addressed to faxnumber@Fax-away.com.

Support for MIME, BinHex and UUEncoding
Fax-away supports most types of MIME, BinHex, and UUEncoding for attachments. Fax-away will decode and fax e-mail messages which contain attached files, with which it is compatible.

When sending an attachment, the file name must be no longer than eight letters, excluding the three letter extension (MS-DOS format).

All formats must include their respective three-letter extensions.

Fax-away makes every attempt to support as many file formats as possible, however Fax-away cannot support all file formats.

Fax-away currently does not support Macintosh documents in the listed formats.

It is highly recommended that you test the documents you plan to send through Fax-away to your own fax. If you plan to send the document as a broadcast fax, please create a test group consisting of two or more records of your own name and fax numbers.

We encourage you to utilize your $5 credit to test the various types of messages and attachments you plan to send.

TIFF converter
Fax-away offers a TIFF file conversion software available for download at http://www.Fax-away.com/tiff This software will allow any Window's application to be converted to a TIFF format type 3 1-d.

When a TIFF file is attached to an e-mail, Fax-away processes the e-mail as if the user put FAXDOC in the subject line. Fax-away will send only one TIFF file per message, even if more are attached. Merge fields are not allowed with TIFF files.

Sending a fax with extended characters
Fax-away can properly translate the US ASCII and the ISO-8859-1 character sets, including characters used in most Western European languages such as accented letters and foreign currency symbols. This character set covers the following languages:

Catalan, Danish, Dutch, English, Faeroese, French, German, Galician, Irish, Icelandic, Norwegian, Persian, Portugese, Spanish, Swedish, Tamil.

Fax-away cannot support any other character sets such as Arabic, Chinese, Japanese, Korean or any other scipted or double-byte character alphabets within word processing documents/ text attachments, however, you can use the TIFF conversion software to convert your file to a TIFF file, and then send it to Fax-away.

Activating Additional E-mail Addresses
To set up multiple users and e-mail addresses, send a list of all e-mail addresses you wish to activate to customer care.

In certain cases, an individual may have an e-mail address which their service provider changes for outgoing messages. Since Fax-away verifies the From: e-mail address, each From: e-mail address permutation must be listed as a sub-account. Please inform us if your service provider changes your e-mail address.

Also, if you wish to switch Internet providers, or switch e-mail addresses, you must send the request before the old address is de-activated. Otherwise, we will have to ask you for alternate identification, and that may take time to verify.

For security reasons, any requests to add, delete or change group accounts must come from the main account e-mail address.

Usage reports
Fax-away will always send a reply regarding the success or failure of each fax transmission. The confirmation will indicate the transmission duration as well as the amount charged to your account, and your remaining pre-paid balance.

Fax-away makes four attempts, a minimum of 4 minutes apart, before notifying the you of a failure. Fax-away does not charge for failed transmissions for casual traffic (non-broadcast fax traffic).

The main account's e-mail address will receive the group fax summary. Each individual account within the group will receive its own confirmation/failure replies.

Upon charging your credit card for an additional pre-payment amount, Fax-away generates a summary of faxes sent since your previous payment. This notice is sent to the main account's e-mail address only. In some cases the total of the summary may not equal the amount of the charge. This may occur if your account balance dropped below zero during a fax transmission.

Sometimes confirmation messages may be misrouted, lost or returned to Fax-away as undeliverable. If you do not receive a confirmation message, please use the LIST CALLS command. If you do not receive a response to this command within eight hours, please contact your Internet service provider.


Common Questions and Troubleshooting

How long does it take to send a fax with Fax-away?
Once your e-mail message has reached Fax-away via the internet, the first attempt of the fax occurs within twenty minutes.

Transmission time of the fax depends on several factors such as, the type/size of the file sent, the receiving fax machine and error correction.

I've already registered, but I keep getting a message that says I must sign up.
Fax-away determines whether you are registered by verifying the e-mail address in the From field of the e-mail. If this changes in any way, the computer will think that you are a new user. If your e-mail address changes when you send a message (for example, aard@vark.net might become aard@mail.vark.net), you must inform us. Also, if you have several different addresses, you must add them as sub-addresses to your account.

Does Fax-away work with all fax machines?
Fax-away can communicate with all Group 2, Group 3 and CBF fax machines (most fax machines are Group 3).

Fax-away must hear a fax tone when the receiving line is answered in order to send a fax.

The fax I sent was garbled.
Garbled faxes can occur for many reasons:

1. The encoding used was not compatible with Fax-away. Fax-away is compatible with most types of UUEncode, BinHex, and MIME. Typically when this happens, your faxes sent will be printed in garbage or "non-sense" characters.

2. The attached file sent was not a supported format. Typically when this happens, your faxes sent will be printed in garbage or "non-sense" characters.

3. The receiving fax machine was dirty, or broken (lines run together, or are missing).

If you have problems with garbled faxes for reasons not listed above, please contact us, to help troubleshoot the problem.


Creating a Fax-away Letterhead
You may create a unique letterhead for all text you send through Fax-away in the body of an e-mail. Usually, a letterhead contains a company logo, and a handwritten signature. Send your letterhead in one of the following formats: MS Word 6.0 or less, RTF, WRI, or TXT. Any pictures/graphics must be inserted as either a bitmap, JPG, PCX or WMF format.

We charge a one-time US$10 fee for installation of each letterhead added to an e-mail address (main and sub-accounts may have different or similar letterheads, but, the fee is still charged per letterhead).

The fee will also be charged again if a major change is requested, but not if you request minor changes (new phone number, different font, etc.).

We recommend that you test the format after we notify you of its installation.

Fax-away can accommodate any TrueType font from the standard MS Windows 3.1 installation (ie. common fonts such as Arial, Times New Roman, Courier, etc). If you wish to add a different font, we will need the TTF file, which you can send to template@Fax-away.com.

Do not send a file which is inaccessible; ie. locked, read-only or password protected.

Do not send files with macros within the letterhead format.

Send your templates when done to template@Fax-away.com.


Broadcast Faxing
Registered Fax-away users have the ability to send customized faxes to multiple fax machines.

Creating a Fax-away broadcast fax group
Follow the examples below.

To create a broadcast fax group, use the ADD GROUP interactive command described in the Fax-away Quick Reference section.

All broadcast group names must be 6 characters or less.

The broadcast fax group list is stored at Fax-away. Thought should be given to the names that you give to you broadcast fax groups for future reference.

If your existing database can be converted to a comma-delimited ASCII text format, then simply paste the text into an e-mail, respecting the following protocols.

All of the examples below are for a broadcast group named TANGO.

To create a broadcast group with numbers only, follow the following example by sending an email with the following protocol:

To: update@Fax-away.com Subject: (leave this blank) Body: add group tango 12062863000, 33123456789, 441719876543

To create a broadcast group with names and numbers, send an e-mail with the following protocol:

To: update@Fax-away.com Subject: (leave this blank) Body: add group tango John Washington 12062823000, Michel French 33123456789, Nigel England 441719876543

The broadcast group can also be formatted as follows:

To: update@Fax-away.com Subject: (leave this blank) Body: add group tango John Washington 12062823000, Michel French 33123456789, Nigel England 441719876543

Make sure that there is only one space between the name and the fax number. Also there must be a comma after each fax number.

You will receive a confirmation message after your group has been installed.

Testing the broadcast fax group
Create a test group to which all new documents should be sent for quality control. The test group should consist of 2 or more of your fax numbers, and include names (such as "Test Document") for merge field documents.

Fax-away prefers the following formats for broadcast faxing:

.doc Microsoft Word version Word 95, 6.0 or less .tif Tagged Image File Format (Type 3 1-D only)

If you are not using merge fields it is recommend that you convert your file to a type 3 1-d tiff format using the tiff file conversion software. The tiff file conversion software can be used for any Window's application.

Merge fields when broadcasting a Microsoft Word attachment
Fax-away supports merge fields, to be used for customizing an attachment of a Microsoft Word document. This eliminates the need to make separate documents for each recipient.

Fax-away charges five cents per fax for using merge fields in broadcast faxing regardless of how many merge fields are used within the document. Please be aware when broadcasting a text message (versus an attachment with "faxdoc" in the Subject Line), merge fields are automatic, and will be charged.

Place the merge fields wherever they are needed within the document you wish to send.

Requirements for merge fields
1. Attachment must be a Microsoft Word document. 2. Do not use Microsoft Word merge fields. 3 Use the exact syntax (listed below) for merge fields in your document. 4. Merge fields may be repeated within the document as necessary.

Start your broadcast fax
To initiate a broadcast fax, send an e-mail to "groupname@Fax-away.com" where "name" is the title of the broadcast group.

If you plan to send a text message/file only as a broadcast fax (please note that a text message contains automatic merge fields in the header, which will be charged at $0.05 per merge field), use the following format:

To: grouptango@Fax-away.com Subject: (type any text) Body: (Place your text file here).

If you plan to send an attached file (with or without merge fields), use the following format:

To: grouptango@Fax-away.com Subject: FAXDOC Attachment: (attach the file you plan to send) Body: (leave this blank)

Group access conditions
Only the e-mail address which set up the broadcast fax group can access the broadcast fax group.

If the main account e-mail address sets up the broadcast fax group, then any sub-account e-mail addresses listed on that Fax-away account will be able to access the broadcast group to initiate a broadcast fax.

If the sub-account e-mail address sets up the broadcast fax group, then only the sub-address will have access to initiate the broadcast fax and edit the broadcast group.

Broadcast Fax Progress Commands
All broadcast fax progress commands are interactive commands, and should be sent to update@Fax-away.com.

• Use the STATUS command to check the status of a broadcast fax in progress.

To: update@Fax-away.com Subject: (leave this blank) Body: status group tango

• Use the HALT to stop a broadcast fax in progress.

To: update@Fax-away.com Subject: (leave this blank) Body: halt group tango

• Use the HISTORY command to receive a historical synopsis of all broadcasts for a broadcast group.

• Use the BCCONFIRM command to choose a listing option of your broadcast fax confirmations.

Replace X with a number corresponding to the following options:

(ex. set bcconfirm 2)

The default option is 1.

1. List of fax numbers, in order by fax number. 2. List of names and fax numbers, in order by fax number. 3. List of names and fax numbers, in order by name. 4. List of names, in order by names, with no fax numbers.

Retrying a Broadcast Fax
To send the same message to the fax numbers that failed the first time, use the RETRY command. Send a message to "retryname@Fax-away.com", with nothing in the subject or text fields, and no attachments. Fax-away will re-send the last broadcast to that group (the system keeps a copy of the document for two weeks before deleting it). To re-send the failed messages for group "tango", send a message:

To: retrytango@Fax-away.com

Retry sends only the failed faxes from the previous attempt. If the second attempt produced failures, and you know the numbers are correct, then send another retryname@Fax-away.com to resend the failures from the second attempt.

For broadcast faxes sent to continental US fax numbers, Fax-away charges $.10 for each failure in a broadcast fax which has a failure rate of over 10% (retry command is considered a broadcast, and usually experiences a much higher failure rate). Fax-away will try every fax four times at least 3 minutes apart before considering the fax a failure.

Broadcast group edit commands
Use these interactive commands to edit existing broadcast fax groups.

• Use the ADD TO GROUP command to add fax numbers to an existing group.

You will receive a confirmation message after the recipient has been added.

• Use the DELETE FROM GROUP command to delete a specific number from a group.

To: update@Fax-away.com Body: delete from group tango 49228345678

This will delete both the number and any associated name from the specific group. You may delete several numbers in the same message (separate the numbers with a comma and a space).

You will receive a confirmation message after the number has been deleted.

• Use the DELETE GROUP command to delete an entire broadcast group.

To: update@Fax-away.com Body: delete group tango

You will receive a confirmation message after the group has been deleted. Once a Broadcast group has been deleted it cannot be recovered. Use the LIST GROUPS command to retrieve a list of all broadcast groups associated with a specific e-mail address.

To: update@Fax-away.com Body: LIST GROUPS

The reply message will contain the names of all broadcast groups, as well as the number of recipients in each.

• Use the LIST GROUP command to retrieve the numbers included in an existing group.

To: update@Fax-away.com Body: list group tango

The reply message will include a list of all the fax numbers in that group.

You can use the BCCONFIRM command to change the formatting of the list returned with the LIST GROUP command.

Incidental Broadcast Faxing Charges
In addition to transmission rates, Fax-away charges the following independent, and service charges which affect broadcast fax customers only.

Merge field charge
Fax-away charges .05 cents per fax for using merge fields in broadcast faxing regardless of how many merge fields are used within the document. Please be aware when broadcasting a text message (versus an attachment with "faxdoc" in the subject line) merge fields are automatic, and will be charged.

10% failure rate charge
Broadcasts that experience failure rates of 10% or higher will be charged 10 cents per failed fax number. This charge will be applied to Retry's of failed broadcast group faxes. Since Retry's experience a much higher failure rate, failure charges should be expected.

Data maintenance
A charge of 25 cents per record for data entry of groups will be charged. This does not apply to adding, or editing through , but only to requested support services. Please contact Fax-away Broadcasting for estimates.

Document maintenance
A $30 minimum will be charged for support, creating, and building documents for broadcasting. Please contact Fax-away Broadcasting for estimates.


Fax-away Advanced Interactive Commands

General commands
Use the LIST CALLS command to receive a list of complete, failed and pending faxes for a specified period of time. The reply message contains the GMT date and time, fax number, duration and cost of each completed fax.

This command and variations of this command will only return the fax information for the e-mail address which sent the command. The maximum amount of records which can be retrieved is 1000.

• Use the LIST CALLS command to return a list including the last seven days.

• Use the LIST CALLS X command to specify the last X days of faxes you wish to receive.

Replace X with a number (ex. for the last 15 days, list calls 15).

• Use the LIST CALLS ALL to allow the main account to access the list calls history for all of the sub-account.

To: update@Fax-away.com Body: LIST CALLS ALL or Body: LIST CALLS X ALL

If a sub-account sends the LIST CALLS X ALL, update@Fax-away.com will only return the activity for the sub-account.

• Use the LIST CALLS SUBJECT to include the subject line of the faxes.

• Use the SET CONFIRM ON/OFF command to enable/disable the automatic confirmation reply messag. The default setting is ON.

replace X with ON or OFF (ex. set confirm off)

• Use the SET CC ON/OFF to send a copy of the confirmation message received to a sub-account e-mail address to a main account e-mail address. The default setting is OFF.

• Use the SET FAILCOPY ON/OFF command to choose whether the entire e-mail addressed to a faxnumber@Fax-away.com is returned to the sender of the e-mail if the fax fails. The default setting is ON.

Billing Commands

• Use the SET LIMIT command to change the monthly limit on your account. The monthly limit is the maximum dollar amount you will be able to use in faxing in one month with Fax-away. After surpassing your limit, your account will be automatically disabled.

• Use the SET CONFIRMBALANCE ON/OFF to choose to view the running account balance with every confirmation message. This command effects all e-mail addresses listed within an account. The default setting is ON.

Miscellaneous Commands
• Use the SET FONT command to change the font type of text messages typed within the body of an e-mail to be faxed. This command does not effect the font used on the custom letterheads (section 3).

Fax-away offers 5 types of font.

FIXED is the default 9 point fixed-width. ARIAL and TIMES are 10-point proportional fonts. ARIAL12 and TIMES12 are 12 point proportional fonts.

• Use the SET NAME command to change the From: alias name that is displayed in the From: field of the receiving fax.

• Use the HELP command to retrieve the latest version of the Fax-away User Guide. This command should be sent approx. every two months, as Fax-away makes changes and additions to our service on a regular basis.

Setting up a 'Faxback' Document
By sending documents to Fax-away to store for later use users may send a short command to have Fax-away forward the document. This feature saves time for users who send the same document repeatedly to different people. It can also help Web site managers.

To set up a faxback document, attach a document in one of our supported formats, and send it to save@Fax-away.com. Put the name you wish to use for the document in the subject line (does not have to be the document's actual filename).

The name you choose must be eight characters or less, with no punctuation or spaces allowed. If the subject line is blank, Fax-away will automatically assign a name, starting with FAX1, then FAX2, etc. If you assign a name already in use, Fax-away will replace that document with the new one.

An e-mail confirmation will arrive after the document has been saved, or a failure message if no attach ment was sent or if Fax-away could not properly decode it. Fax-away presently does not charge for storage.

• To get a list of Faxback documents, send an e-mail message to:

The reply message will contain the names and the dates that the documents were stored.

Sending a FaxBack Document
• To send a faxback document, address an e-mail to faxnumber@faxaway.com and type in the subject line the name of your file.

For example to send a file named "rates" to 1-206-301-7500, the message should be addressed:

To: 12063017500@faxaway.com Subject: FAXBACK rates

The body of the e-mail message will be ignored (as if you had put FAXDOC in the Subject: line).

Merge fields are supported for faxback documents.

We highly recommend that you test the document by sending it to yourself, before using it.
